Setting up Your Tour Calendar on the App

Keeping regularly scheduled tour times makes it easy for interested parents to visit you and learn about your program. You can easily manage your tours and available times from the Wonderschool app or your program dashboard. 

Add, edit, or remove available tour times with the app

1. Open the Wonderschool app on your device.
2. Tap More in the bottom right corner.
3. Tap Tours and Events.
4. Scroll down to the calendar.
5. Use the blue arrows to find the start date of your new available tour time. 
6. Tap on the gray box for the start time of the tour.            
   
   • For tour times that repeat weekly:
     1. Under DAYS, select the days of the week that will have the same tour time available.
     2. Under ENDING AT, change the time to reflect the end of the tour time.
     3. Tap the box next to Repeat this availability indefinitely.
     4. Tap Schedule. 
   • For a one-time opening:
     1. Leave DAYS and STARTING AT as they are.
     2. Under ENDING AT, change the time to reflect the end of the tour time.
     3. Uncheck the box next to Repeat this availability indefinitely.
     4. Tap Schedule.

You can also edit or remove tour times:

1. Tap the tour time you'd like to edit. 
   • Blue boxes represent available times you previously scheduled.
2. Then you can:
   • Delete Availability on just that day at that time, or
   • Delete the entire repeating series described in the blue link under Remove Series?

Schedule a tour with the app

1. Open the Wonderschool app on your device.
2. Tap More in the bottom right corner.
3. Tap Tours and Events.
4. Tap the blue Schedule Tour button.
5. Select the requested date, name of the family, and time.
   1. If you do not see the family's information, you can learn how to add an interested family here. 
6. Tap Schedule which will update your calendar and send an email to the family.

Cancel or reschedule a tour with the app

To completely cancel a scheduled tour:

1. Open the Wonderschool app on your device.
2. Tap More in the bottom right corner.
3. Tap Tours and Events.
4. Find the list of Upcoming tours.
5. Find the interested family.
6. Tap the CANCEL link on the right.
7. Tap Yes, cancel to cancel the tour.

To reschedule a tour:

1. Open the Wonderschool app on your device.
2. Tap More in the bottom right corner.
3. Tap Interested.
4. Tap on the name of the family whose tour you need to reschedule.
5. Under Timeline at the top, tap Schedule new time.
6. Select the new date and time.
7. Tap Schedule which will update your calendar and send an email to the family.

Follow up after tours with the app

To take next steps with a family after a scheduled tour:

1. Open the Wonderschool app on your device.
2. Tap More in the bottom right corner.
3. Tap Interested.
4. Tap on the name of the family.
5. Under the tour date, tap Mark as Attended or Mark as Missed.
   
   • Only select Mark as Missed if the family was a no-show. Selecting this option will send an email to the family reminding them of the Wonderschool No Show Policy.
6. Tap Actions to:
   • Reschedule tour,
   • Send enrollment invitation - by email,
   • Waitlist this family (which adds them to your program's waitlist), or
   • Archive this family (if you no longer want them to join your program).
7. Select an action to change the family's status.
